    CaseAid Foundation ("CaseAid," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and protect your information when you interact with our website, services, and communications.

    We are a nonprofit organization building digital infrastructure to expand access to justice. CaseAid provides tools to help legal service organizations, volunteer lawyers, and clients participate in virtual legal clinics. We do not sell your personal information, and we strive to collect the minimum necessary data to operate our services.


    1. Scope of This Policy

    This Privacy Policy applies to information collected:

    • Through our website (e.g., www.caseaid.org)
    • When you use CaseAid services (including our virtual clinic dashboard, onboarding forms, and waiting room features)
    • In email or other communications with CaseAid
    • Through integrations with third-party services (e.g., Zoom, LegalServer, Clio)

    This policy does not apply to information collected by:

    • Legal service organizations (LSOs) independently using CaseAid
    • Lawyers or clinics using their own tools, websites, or data collection processes
    • Any third-party platforms not operated or controlled by CaseAid

    2. What We Collect

    We only collect information that is necessary to provide and improve our services. This may include:

    a. Account Information

    • Name, email address, and organizational affiliation (for volunteers or LSO users)
    • Jurisdiction, availability, or qualifications (where applicable)
    • Passwords (hashed and encrypted)

    b. Client Intake Information

    When clients use our platform to join a legal clinic, we may collect:

    • Name, email address, phone number
    • Location/jurisdiction
    • Legal issue or reason for visit
    • Optional intake form responses (submitted through LSOs or partner integrations)

    c. Technical Data

    • IP address, browser type, and device info
    • Usage data (e.g., pages visited, time spent)
    • Cookies (see below)

    d. Optional Sensitive Data

    LSOs may request information related to:

    • Race or ethnicity
    • Immigration status
    • Health or disability

    We do not require this data, and any collection of sensitive information is subject to explicit user consent and managed by the LSO responsible for the clinic.


    3. How We Use Information

    We use the information we collect for the following purposes:

    • To provide and support our virtual clinic services
    • To enable secure access to virtual meetings and waiting rooms
    • To match lawyers with appropriate legal opportunities
    • To help LSOs manage scheduling, onboarding, and reporting
    • To respond to user inquiries and provide support
    • To improve our platform, troubleshoot issues, and analyze performance
    • To comply with legal or regulatory obligations

    We do not use personal data for advertising or marketing purposes. We do not sell your data.


    5. Data Ownership & Control

    CaseAid does not own or control the data submitted by legal service organizations or their clients. LSOs retain full ownership and responsibility for client information collected during their use of CaseAid.

    If you are a client or volunteer participating in a clinic, the LSO hosting the clinic may have its own privacy practices in addition to this one.


    6. Cookies & Analytics

    We use cookies and similar technologies to:

    • Remember login sessions
    • Improve user experience
    • Analyze website usage patterns

    You can disable cookies in your browser settings, but doing so may limit some functionality.


    7. International Users & Data Residency

    CaseAid offers users and organizations the ability to choose where their data is stored. Available data residency regions include:

    • United States
    • European Union
    • Australia
    • Singapore

    Your data will be stored and processed in the selected region unless otherwise required by law or necessary to maintain the security and performance of our services.

    By selecting a region, you authorize CaseAid to process your data in that location in accordance with this Privacy Policy and applicable local regulations. We work with trusted infrastructure providers to ensure compliance with relevant data protection standards, including the GDPR for EU users and the Australian Privacy Act for users in Australia.

    If no region is explicitly selected during onboarding, data will default to storage in the United States.


    8. Data Security & Retention

    We take reasonable administrative, technical, and physical measures to protect your information. Data is encrypted in transit and at rest.

    We retain user data only as long as necessary to provide our services or comply with legal obligations. If your account is inactive or closed, we may retain limited records for audit, legal, or operational purposes.
